The selection process to ensure the records meet the review criteria is both random and targeted. Once submitted they can be reviewed at any time by the GPhC with a random sample being selected evenly throughout the year and the registrant informed with the timescales for feedback. The peer will also be contacted to confirm that the peer discussion took place.
A pharmacy professional and a lay reviewer will review anonymised copies of the records and develop a feedback report. Individuals not selected for review will receive summary feedback from the GPhC based on the reviews conducted. CPD records will start to be reviewed in January 2019, followed a year later by the reflective accounts and peer discussion records.
If the individual meets the criteria
Individuals who meet the criteria will not normally be reviewed again for the next two years and then may be selected randomly. There are some cases where records will be reviewed more often than this. These include late submission without a reason, a history of poor compliance to standards or where remedial action has been taken previously following review of the records.
If more information is required
Additional activities or information may be required. There are several reasons for this including:
- The review criteria have not been met
- Reapplication to the register following removal is granted where additional learnings need to be met
- Following a hearing, a direction has been given by a fitness to practise committee which is conditional on additional learning being conducted
- Verification is required on the information submitted relating to the learning undertaken and to the context of practice.
If the criteria are not met
When the criteria are not met the remediation period commences and an individual can submit their records for the second time. Where the criteria are not met again the steps outlined in the GPhC’s statutory rules will be followed and in the worse case scenario, removal from the register or a speciality annotation from the register could occur.
